Job Descriptions

The Resource Planning Executive is responsible for supporting the effective allocation and management of resources across projects under the assigned business unit. This role plays a function in maintaining accurate resource data, following up on requests, and ensuring smooth day-to-day resource planning tasks. By maintaining data accuracy and collaborating with related departments, the Resource Planning Executive helps enable timely and efficient resource planning activities.

Resource Allocation & Planning

  • Stay on top of resource allocation across the assigned business units.
  • Receive and validate resource requests from Project Managers, ensuring alignment with project scope, timeline, and skill requirements.
  • Collaborating with project managers and department leads to ensure effective resource utilization.
  • Able to handle at least 60% of all resource requests within the SLA without further supervision from the senior members.
  • Clarify requirements (skills, seniority, availability) with stakeholders to ensure 7R characters of workforce management in a just-in-time approach. · Collaborate with Line Managers to identify and propose suitable candidates.
  • Tracking basic project timelines to support ramp-up and ramp-down planning.
  • Collaborate with the Recruitment team to track status of open resource demands.
  • Maintain accurate and timely updates of resource assignments in internal systems (e.g., ReMS, TMS, PAS, Keyedin, IPP).
  • Support the implementation of resource planning tools and processes.
  • Ensure CVs are updated and submitted to projects promptly.

Resource Management

  • Stay updated on succession planning for key roles in the assigned market to ensure business continuity.
  • Anticipate in implementation of the resource rotation plans for senior resources to optimize engagement, retention, and knowledge transfer.
  • Resolve complex resource conflicts and last-minute changes in project needs, often requiring cross-functional coordination and rapid decision-making.

Resource Development

  • Assist in gathering and updating employees’ career development information within the assigned business unit and provide relevant data or support when needed.
  • Stay connected with the internal training department for the training attendance and help with track skill development progress by maintaining accurate records of the assigned group of participants.
  • Collect, update and maintain staff profiles to support checkpoint reviews, performance evaluations, and resource planning activities. · Work with Line Managers to align project assignments with employees’ career development plans.

Operational Support & Process Improvement

  • Participate in user testing activities under guidance, document feedback and test results for review.
  • Assist in identifying basic tool issues or inconsistencies and report them to the relevant internal teams following standard procedures
  • Coordinate with departments as needed to collect input or feedback related to operational tool usage.

Reporting & Systems

  • Support and maintain accurate data in internal tools like ReMS and IPP for tracking and reporting within the assigned business unit.
  • Ensure timely input of resource-related updates in resource management systems to support planning, tracking, and reporting activities.
  • Support the generation of standard resource reports and dashboards by gathering and organizing relevant data.

Qualifications

  • A university degree or above, IT background is plus.
  • Good English skills, especially in spoken communication.
  • Good analytical, troubleshooting and problem-solving skills.
  • Good engaging communication and negotiation skills (verbal/ written)
  • Ability to handle multi-task under high-pressure and manage the constraints to achieve results within the expected SLA.
  • Good customer service orientation and foster strong collaboration with all stakeholders for the most appropriate resource plan to archive the delivery’s goal. · Understanding the software development life cycle (Agile or Waterfall) and familiarity with methodologies such as RUP, Scrum, or Kanban is a plus.
  • Excellent interpersonal skills focused on listening, questioning, and communication skills (verbal & written); Ability to drive the discussion for a balance/practical solution to 60% WFM’s problems in a professional manner; negotiate and create consensus within the team. · Time management skill
  • Awareness of the business priorities, objectives and business drivers.
